SUBMISSION GUIDELINES

 

ELIGIBILITY

Current AAW membership at any level is required at time of submission. Original works will be accepted in five media: Painting, Photography, Sculpture, Works on Paper and Mixed Media. Work
submitted must have been executed in the past three years (2023-2026) and not previously exhibited in AAW Members’ Exhibition.

MEMBERSHIP

You must have a current AAW membership to be eligible to submit your work. If you are not a current member, AAW reserves the right to remove your work from the exhibition. For Membership information go to AAW Membership and join or renew your membership.

SUBMISSION

The AAW will only accept submission at our online registration form at MembersExhibition2026. Only submission by the artist will be accepted: entries sent via email or by mail will NOT be considered.

GUIDELINES FOR ARTWORK

• A maximum of one work per artist may be submitted.

• Artists will be asked to provide a 2-3 sentence statement about their work on the registration form.

  If selected for the show, these statements may be included in accompanying labels.

• AAW only accepts artwork that has been created in the past three years and has not been

  previously exhibited in a AAW Members’ Exhibition.

• AAW prohibits glitter, wet paint, sharp objects, open flames, balloons, spray (perfumes, hairsprays,

  etc.), dangerous chemicals, weapons, pressurized containers, plants or animals (alive or dead, excluding stable wood), hazardous materials (explosive, flammable, or perishable), infested materials (visible mold, or insects), or anything deemed harmful.

• Accepted work may not be removed during the exhibition.

 

2D ARTWORK SPECIFICATIONS

• All hanging art must be framed and/or ready for installation. We accept pieces that are hung on d- rings or wire.

• Must not exceed 42 inches in any dimension.

• The work cannot exceed 50 pounds.

• Pieces without hanging hardware may not be included in the exhibition.

 

3D ARTWORK SPECIFICATIONS

• Three-dimensional work cannot exceed 8” D X 24” W X 16” H.

• The work cannot exceed 24 lbs.

 

ARTIFICIAL INTELLIGENCE SPECIFICATIONS

• All applicants who used AI to make their submissions select “Mixed Media” when prompted to choose the Submission Category.

• Please list the AI program(s) used under the “Medium/Materials” field.

• All other rules about dimensions, weight, etc. still apply.

 

SELECTED ARTWORK

• Only artwork selected for the exhibition should be delivered to the Woodbury Library.

• Selected works must be delivered ready to install/display.

• Artwork misrepresented or considered unsuitable for presentation will be refused.

• Artwork will be exhibited in an arrangement decided by the AAW Exhibition committee.

 

AWARDS CEREMONY AND OPENING RECEPTION

• Awards Ceremony and Opening Reception will be held on Saturday, December 5, from 3:00 PM–4:30 PM.

• Please invite your patrons, friends, and family.

 

DELIVERY and PICKUP ARTWORK

• The artist is responsible for packing art for delivery. All work should be packaged in a manner that allows for materials to be re-used for return.

• Deliver work to the Woodbury Public Library, 269 Main Street South, Woodbury, CT, on November 28 between 9:30 AM and 4:30 PM, or November 30 between 9:00 AM and 4:30 PM.

• Be sure to sign the Artwork Consignment and Pick-Up Form when you drop off your work.

• Please note that deadlines for receipt of works are firm, and if work is not at the Woodbury Public Library by deadline, AAW reserves the right to not include it in the exhibition. Delivery accepted only during the stated hours on the stated days. No exceptions will be made.

• Pick up work from the gallery on December 31 between 9:30 AM and 3:00 PM, or January 2 between 9:30 AM and 4:00 PM. Be sure to sign a receipt when you collect your artwork.

• Note: The library does not have storage space for artwork after the show closes. AAW and the library cannot be held responsible for work left behind.

• Work not picked up by the dates noted above, the work will be considered abandoned property and disposed of as the AAW sees fit.

• All works should be labeled with the artist’s name, telephone number, title of work, date, medium, and dimensions.
